How a quote becomes evidence

One path, every quote

Whatever the format and whoever the supplier, the route is the same: read, made comparable, checked against the agreement, returned with the evidence.

    Every quote read, however it arrives

    Supplier quotes arrive as PDFs, spreadsheets and forwarded emails in every conceivable layout. Nobody retypes a line: Avtaly reads each file and pulls out every description, quantity, unit and price.

    Every line made comparable

    Each line is converted to its lowest billable unit — per kilometre, per person-hour, per meal — so quotes compare like-for-like. When a quote omits the number that matters, Avtaly asks the supplier rather than guessing — automatically, once your workspace opts in.

    Checked against the rates you agreed

    Every line is graded against the rate card your supplier committed to, then against your own price history. Each flag cites its evidence — how many observations, from which period, on what basis — so nothing has to be taken on faith.

    Above-rate lines are flagged with the maths shown. From there: price inquiries to the supplier, approval certificates for clean quotes, and savings reports for the month-end pack.

What an approval certificate holds

The certificate is the approval’s own evidence — what was cleared, on what basis, with what result — filed per line, so an auditor can re-check it years later rather than take the approval on trust.

How a saving is counted

A saving enters the total only when the credit note or revised quote that realises it is on file — and it enters once. Evidenced at the flag, counted when it is realised, reportable.

Reports that survive an audit

When an auditor asks where a number came from, you can show them: every figure in the monthly report traces back to a per-line record — flagged, evidenced, exportable as it stands.

In June 2026, 1,284 line items were audited, R 412,300 was flagged before payment, and R 381,100 was recovered to credit note, with the monthly flag rate down to 14.2%.
